Automation Opportunity Scoring System

Use this to decide which companies are worth contacting.

Maximum score: 10 points.

Contact companies with score 7 or higher.


1. Repetition Score: 0-2

How often does the task happen?

  • 0 = one-time or unclear
  • 1 = weekly/monthly
  • 2 = daily or many times per week

Examples with 2 points:

  • appointment booking
  • lead follow-up
  • customer support messages
  • invoice reminders
  • CRM updates
  • inventory updates

2. Cost / Revenue Impact Score: 0-2

Does the problem cost money or block revenue?

  • 0 = no clear business impact
  • 1 = saves time but impact is small
  • 2 = affects sales, customer experience, missed appointments, lost leads, or payroll cost

Examples with 2 points:

  • missed calls = lost revenue
  • slow lead follow-up = lost deals
  • no-shows = lost appointments
  • manual invoice follow-up = delayed cash

3. Simple Automation Fit Score: 0-2

Can we solve it with simple tools?

  • 0 = needs complex custom software
  • 1 = partly automatable
  • 2 = can be automated with forms, Zapier/Make, Airtable, Google Sheets, Notion, email, WhatsApp, CRM, or chatbot

Examples with 2 points:

  • form → spreadsheet → email/WhatsApp notification
  • website lead → CRM → follow-up email
  • appointment form → calendar → reminder
  • invoice due date → automatic reminder

4. SMB Fit Score: 0-1

Is the company a realistic client?

  • 0 = too big, too corporate, or unclear budget/contact
  • 1 = small or medium business where owner/manager may respond

Best company size to start:

  • 2-50 employees
  • local business
  • founder-led company
  • small agency
  • clinic/office with clear manager

5. Decision Maker Clear Score: 0-1

Can you find a person who can say yes?

  • 0 = no clear decision maker
  • 1 = found owner/founder/operations manager/office manager

Good titles:

  • Owner
  • Founder
  • CEO
  • COO
  • Operations Manager
  • Office Manager
  • Practice Manager
  • General Manager

6. Recency Score: 0-2

Is the signal recent?

  • 0 = older than 6 months
  • 1 = 1-6 months old
  • 2 = last 30 days

Recent signals are much stronger because the problem is active now.


Priority Levels

8-10 points: 🔥 High Priority

Contact now. Create a custom message and offer a free automation report.

6-7 points: ✅ Medium Priority

Good opportunity. Contact if you have time or if the company is in your target industry.

4-5 points: ⚠️ Low Priority

Save for later. Need more research.

0-3 points: ❌ Ignore

Do not spend time unless new evidence appears.


Example Score

Company: Dental clinic

Evidence: hiring receptionist to answer calls, schedule appointments, send reminders, update patient records.

  • Repetition: 2
  • Cost impact: 2
  • Simple automation fit: 2
  • SMB fit: 1
  • Decision maker clear: 1
  • Recency: 2

Total: 10/10

Automation idea: Appointment intake form + automated reminders + missed-call follow-up + Google Sheet/CRM update.
